Planning Your Event

In order to conduct successful conferences and related events, CHEP offers a variety of technical knowledge for well-planned and meaningful learning opportunities. CHEP has demonstrated ability to provide clients with new and innovative methods in planning and managing events. Being up to date on the latest procedures, software, trends, "hot spots", government policies, regulations, etc... allows CHEP to remain on the cutting edge of conference planning.

CHEP can help you plan an event of any size since we have the technical expertise to be conversant on a variety of topics. We understand the highly complex technical, legal, and social issues inherent in the conduct of a private or government conference. CHEP has been serving in a conference planning capacity since 1995. The staff members are highly skilled and bring a wealth of experience to each event. Below are the general steps we take in planning each event with you:

  1. Skilled Site Selection

    The CHEP staff is well versed in negotiating for conference and meeting space and can assist in selecting the ideal location for each event. Once selected, we work closely with the location staff to ensure that all logistical arrangements are accomplished in a timely fashion, such as the coordination of audio-visual equipment, room set-ups, and sleeping blocks.

  2. Flexible Content Development

    CHEP assists with the many aspects of content development, including selection of topics, contracting with speakers, organizing materials and planning an agenda Finding the right balance of content and mode of delivery is our forte.

  3. Strategic Marketing

    Our marketing team can design, print, and distribute information that advertises your event. Brochures, “save-the-date” reminders, postcards, conference programs, etc…are custom designed for each conference. Targeted use of the internet and careful selection of recipients is a major part of our marketing strategy.

  4. Registration Processing

    CHEP creates and maintains a full database of participants for every event. From the database we can produce mailing labels for bulk distribution, registration receipts, laminated name badges, name tents, summary reports, and much more. CHEP processes registration fees paid by cash, check, credit card, purchase order or training form. All registration is possible over the internet as well as class evaluations, final evaluations, class attendance, and the granting of accreditation certificates upon successful completion of the event.

  5. Professional Financial Management

    From designing a preliminary budget to producing a final report, CHEP closely manages the financial aspects of every conference or meeting. All records and financial transactions are reviewed by a public accounting firm and each year the corporation completes a full financial audit. Every aspect of the accounting process is fully documented for completeness.
